UCPath at UCSB: Updates

UCPath, the University of California project to develop a unified payroll and human resources system for all the UC campuses and medical centers, is proceeding with planning and implementation activities at the system-wide level as well as at the Wave 1 or "first-adopter" campuses:  UCLA, UC Merced, UC Santa Cruz, and the Office of the President. The project is part of the larger UC Working Smarter Initiative.

Although UCSB is not among the first wave of adopters, we plan to distribute this monthly UCPath at UCSB: Updates bulletin to keep you apprised of UCPath progress.  Other forums for communication will be put into place as we move closer to our implementation date.

Project Timeline Extended

The timeline for launching UCPath on Wave 1 campuses has been extended six months in order to allow sufficient time for adapting existing systems. Campuses in subsequent waves will have their timelines extended by three months.

At its April meeting, the UCPath Executive Steering Committee designated UCSB as a Wave 3 campus.

The new UCPath "go-live" dates are:

• Wave 1: July 2013
• Wave 2: April 2014
• Wave 3: October 2014

UCPath Center

Key to the UCPath program is a system-wide Shared Services Center, which will provide customer service and process routine transactions related to payroll, workforce administration, benefits administration, and leave management for the participating campuses.  The Center will open in July 2013 to serve Wave I campuses; staffing will expand during Waves 2 and 3. Shared Services Center staff will be employed by the University of California.

Currently, the choice of location for the Shared Services Center has been narrowed down to two campuses: UC Riverside and UC Davis.   A final decision will be made by the UC Path Executive Sponsors in April.

Current Activities

The system-wide UCPath project team is engaged in a broad range of ongoing tasks, including project planning and monitoring, communication and change management, business process design and implementation, mapping for data conversion, and refining technology requirements. Representatives from all the UC campuses, including UCSB, are involved.

Besides participating in system-wide planning for UCPath, the local UCSB project team will soon begin working on the requirements for adapting and integrating our existing business processes and practices with the new system.  Planning for the integration will be extensive and will involve input from all levels of the campus — departments, control points, central offices, and more.

As previously announced, the Kronos time-keeping system will be implemented on a campus-wide basis in preparation for the transition to UCPath.  Although the UCPath project will eventually include a time-keeping solution, it is important for the campus to move forward at this time.  Further details will be provided as the implementation moves forward.

UCSB's UCPath Project Management Office

A UCSB Project Management Office will be established to oversee our integration with the UCPath system as well as other campus initiatives. Hiring is currently underway for a PMO director and support personnel. The campus hopes to have the Project Management Office in place by August 2012.

UCPath at Campus Town Hall Meeting May 8
